Rental Terms & Booking Policies

These Rental Terms & Booking Policies are intended to provide a general overview of how we operate. Specific terms regarding payment schedules, cancellations, rescheduling, overtime, equipment use, liability, and other event details are contained in the Rental Agreement signed by the client. If there is any conflict between these policies and a signed Rental Agreement, the Rental Agreement shall control.

Rental Terms & Booking Policies for Photo Booths AZ DBA PicBooth AZ

Thank you for choosing PicBooth AZ. We are honored to be part of your event and are committed to providing an exceptional experience from booking through the final photo. The following Rental Terms & Booking Policies explain how our booking process and services operate.

These policies are intended to provide general information about our services. If any conflict exists between these policies and your signed Rental Agreement, the signed Rental Agreement shall govern.

Reservations

Your event date is not reserved until:

• A signed Rental Agreement has been completed.

• The required booking retainer has been received.

• Written confirmation has been provided by PicBooth AZ.

Because availability is limited, dates remain open to other clients until all booking requirements have been completed.

Payments

A booking retainer is required to reserve your event date.

The remaining balance is due 30 days prior to your event, unless otherwise stated in your Rental Agreement.

Payments not received by the due date may result in cancellation of your reservation.

For bookings made within 30 days of the event, full payment is required at the time of booking.

Early Payment Discount

Clients who choose to pay their remaining balance in full before the final payment due date may be eligible for an early payment discount when offered by PicBooth AZ.

Discounts cannot be combined with other promotional offers unless specifically stated.

Cancellations

Booking retainers are non refundable.

Cancellation policies for additional payments are governed by your signed Rental Agreement.

Requests to cancel should be submitted in writing as soon as possible.

Rescheduling

If your event must be rescheduled, we will make every reasonable effort to accommodate your new date based on availability.

Rescheduling is not guaranteed and may be subject to additional fees depending on the circumstances.

Event Access

To ensure proper setup and testing, we require approximately two hours of access prior to the scheduled booth start time unless otherwise arranged.

Delays in venue access may reduce operating time if setup cannot be completed as scheduled.

Booth Location

The client is responsible for providing an appropriate setup location that includes:

• A level surface

• Protection from weather when outdoors

• Adequate space for the selected booth

• Access to standard electrical power when required

• Safe conditions for guests and staff

Final booth placement will be determined by PicBooth AZ based on lighting, traffic flow, safety, and operational requirements.

Outdoor Events

Outdoor events are welcomed when suitable conditions exist.

For the safety of our equipment, booths cannot operate in rain, excessive wind, extreme heat, or other unsafe weather conditions.

PicBooth AZ reserves the right to suspend or discontinue outdoor operation if conditions become unsafe.

Equipment Relocation

Once the booth has been installed, it may not be moved during the event.

Relocating equipment after setup may damage equipment, interrupt service, and affect photo quality.

If relocation is required, additional labor charges may apply and service interruptions should be expected.

Idle Time

Idle time may be added to your reservation if you would like the booth temporarily closed between portions of your event.

Idle time is available at $99 per hour unless otherwise stated in your Rental Agreement.

Overtime

Additional booth time may be available upon request, subject to staff availability.

Any overtime must be approved by PicBooth AZ and paid according to your Rental Agreement.

Digital Sharing

Digital sharing features including text messaging, QR codes, AirDrop, and email sharing depend on internet connectivity and cellular service available at your venue.

While we strive to provide uninterrupted sharing, temporary interruptions caused by venue conditions or third party providers are outside our control.

Printed Photos

Print quality may vary depending on environmental conditions, guest handling, and printer operation.

Minor variations in color, brightness, and cropping are considered normal.

Printed photographs become the property of the client and guests once distributed.

Online Gallery

Most rentals include a private online gallery containing images captured during your event.

Gallery availability and storage periods vary by package.

We recommend downloading your images promptly after delivery.

Client Supplied Artwork

Clients are responsible for ensuring they have the necessary rights to any logos, graphics, trademarks, photographs, or artwork provided for overlays, welcome screens, backdrops, or printed materials.

PicBooth AZ is not responsible for copyright or trademark violations resulting from client supplied content.

Image Quality

Photo quality is influenced by many factors including:

• Available lighting

• Venue conditions

• Guest positioning

• Guest movement

• Environmental conditions

PicBooth AZ uses professional equipment and lighting to produce the highest quality images possible but cannot guarantee identical results at every venue.

Guest Conduct

Guests are expected to use our equipment respectfully.

PicBooth AZ reserves the right to suspend service if equipment or staff are threatened, abused, or placed in unsafe situations.

The client may be held responsible for damage caused by guests.

Damage to Equipment

The client accepts responsibility for any intentional or negligent damage caused by guests, vendors, or individuals under the client's supervision.

Repair or replacement costs may be charged when damage occurs.

Force Majeure

PicBooth AZ shall not be liable for delays or failure to perform due to circumstances beyond our reasonable control including severe weather, natural disasters, power outages, venue restrictions, government actions, labor disputes, transportation interruptions, internet failures, or other unforeseen events.

Photography & Marketing

Unless otherwise agreed in writing, PicBooth AZ may use photographs of our booth setup, printed templates, backdrops, and event décor for promotional purposes.

We respect our clients' privacy and will gladly honor reasonable requests regarding image usage.

Limitation of Liability

To the fullest extent permitted by law, Photo Booths AZ DBA PicBooth AZ shall not be liable for indirect, incidental, consequential, or special damages arising from the use of our services.

Our maximum liability shall not exceed the total amount paid under the applicable Rental Agreement.
